With a rise of interest in employee health, it is natural to want to introduce a health fair into your efforts toward a more health conscious workplace. After all, health fairs are the highest attended wellness-related events at corporations.

Contact Potential Vendors

Start off your health fair planning by contacting potential vendors. Don’t know where to begin? Thankfully there are health fair companies that will coordinate vendors for you! However, whether you choose to reach out to vendors on your own or coordinate with a specialized company, it is crucial that you consider the demographic of your employees. You want your vendors to be custom tailored to fit everyone’s needs. 

Consider taking surveys to get a better understanding of how your employees would like to improve their health. Try asking what exercises they like to do, if they have any interest in meal prepping, or even if they have thought about trying essential oils. Once you have gained information on employee’s needs, you can narrow down companies to contact about vending at your fair!  

With all that being said, communication is key when it comes to coordinating with potential vendors. It is important to be in constant contact, making sure that they are fulfilling your needs and you are fulfilling theirs. At the end of the day, it is a team effort to put on a spectacular health fair! Allotting enough time to check in frequently with vendors to ensure they will be showing up to your event on-time and fully prepared is essential. Nobody wants a no-show! Provide Free Screenings and Other Preventative Measures

There are a variety of screenings that you can implement into your fairs. Biometric screenings are a great one for employee health fairs. A biometric screening can measure everything from Body Mass Index (BMI) to glucose levels. Planning to provide these before employees enter the health fair can be beneficial. Employees will receive their results immediately following the screening. Once they gauge an idea of their health status, they gain more interest in tips and advice provided by vendors. However, biometric screenings are generally paid for out-of-pocket, or need to be coordinated through your medical plan carrier. But don’t worry, there are plenty of free screenings available to provide as well! Blood pressure checks and posture screenings are just a couple of those options. Try reaching out to local nonprofits such as American Diabetes or American Heart Associations.

 

Arrange for Demonstrations and Activities

It is especially important to make these events not only beneficial, but exciting for employees to attend. You can do so by planning out some health-oriented activities. A common activity at employee health fairs are chair massages. I mean, who doesn’t love to get a massage, especially while at work? 

Create activities that will include all the vendors as well. A practice you can take to do so is by providing incentives to visit each vendor. Turn it into a game, and offer rewards at the end for employees who visit all vendors. 

Providing demonstrations is always a fun way to get employees involved. For example, have a fitness club in the area come out to the fair, and have them demonstrate simple exercises for your employees. Have the employees try out the exercises too! It’s a fun and simple way to get everyone moving and boast the overall employee engagement during your event.

 

When all is said and done, planning out a successful employee health fair can be time-consuming and require a high level of commitment right off the bat. However, even through these challenges, ensuring health and wellness for your employees is definitely worth it in the end— not only for your employees, but for employers as well. With happy and healthy employees comes greater productivity in the workplace!
